The theory and practice of allocating a finite resource.
Time management is the allocation of a resource that cannot be produced, stored, borrowed, or transferred. That set of properties is unusual and it determines the shape of the problem. Because supply is fixed, the only real decisions are selection and commitment: what gets a claim on the hours and what does not. Efficiency is a secondary concern that operates inside those decisions and cannot rescue a bad one.
The most useful model here comes from queueing theory. As utilization of any system approaches capacity, waiting time does not rise proportionally, it rises sharply and then explodes. A schedule booked to ninety percent is not ten percent short of perfect. It is one delayed meeting away from failing in six places at once, because there is nowhere for the delay to be absorbed.
Slack is what absorbs variance. It looks like waste on a calendar, which is why it is the first thing removed and the reason so many well-organized weeks collapse. Unbooked time is not idle capacity; it is the mechanism that keeps a small disruption from propagating through everything downstream.
Little's Law gives the companion result: the amount of work in progress equals throughput multiplied by how long each item takes to get through. Taking on more concurrent commitments does not raise throughput. It raises how long each thing takes, so everything arrives late while the total delivered stays flat.
Time cannot be created, only reassigned. Every acceptance is a reassignment from something unnamed, and the fact that it is unnamed is why acceptance feels cheap. Naming the displaced alternative before answering changes the answer more often than any scheduling technique.
Estimation is the other structural failure. The planning fallacy, described by Kahneman and Tversky, is the reliable tendency to predict a task's duration from an imagined smooth run rather than from how similar tasks have actually gone. The correction is not to try harder at estimating. It is to use the record: how long the last three of these took, unadjusted.
The dominant error is treating efficiency as a substitute for selection. Doing the wrong work faster produces more wrong work sooner, and a well-run system pointed at the wrong output is worse than a sloppy one pointed at the right one, because it is harder to argue with.
The second is mislabeling. Most problems described as time management are commitment problems or attention problems wearing a costume. Someone with eleven hours of open calendar and no capacity to concentrate does not have a scheduling issue.
The third concerns the Eisenhower matrix and its descendants. Sorting by urgency and importance describes the situation accurately and supplies no mechanism. Nothing in the grid prevents the important-and-not-urgent quadrant from being eaten, because urgency is generated by other people and importance is not. The mechanism that protects that quadrant is a booked block defended the way an appointment with a third party is defended. Intention has never once protected it.
